Interim Executive Assistant

We are looking for an experienced Interim Executive Assistant to support the Management Board of an international organisation in Amsterdam. Starting 1 August, you will work 32–40 hours per week, managing complex calendars, international travel and executive communications. You are proactive, highly organised, fluent in Japanese and English, and thrive in a fast-paced environment while maintaining complete discretion and professionalism.

Task & responsibilities:

  • Provide proactive executive support to members of the Management Board.
  • Manage complex calendars and coordinate appointments across multiple time zones.
  • Organise domestic and international business travel, including flights, accommodation, visas and itineraries.
  • Coordinate meetings, prepare agendas, presentations and briefing materials.
  • Prepare correspondence, reports and executive documentation.
  • Take ownership of meeting logistics and follow-up actions where required.
  • Manage confidential information with the highest level of professionalism and discretion.
  • Build strong relationships with internal and external stakeholders worldwide.
  • Coordinate board meetings, executive events and leadership activities.
  • Support continuous improvement of administrative processes.
  • Collaborate closely with other Executive Assistants to ensure seamless support and coverag

Candidate profile

  • Fluent in English (written and spoken).
  • Fluent in Japanese (written and spoken).
  • Available for 32 - 40 hours per week as a Interim Executive Assistant
  • Available to start as soon as possible.
  • Proven experience as an Executive Assistant, Personal Assistant or Management Assistant supporting senior executives or board members.
  • Experience within an international corporate organisation.
  • Excellent organisational and planning skills with exceptional attention to detail.
  • Strong communication and stakeholder management skills.
  • Able to prioritise effectively and work independently in a fast-paced environment.
  • Professional, discreet and service-oriented.
  • Advanced knowledge of Microsoft Office (Outlook, Word, Excel and PowerPoint).
