Interim Executive Assistant
We are looking for an experienced Interim Executive Assistant to support the Management Board of an international organisation in Amsterdam. Starting 1 August, you will work 32–40 hours per week, managing complex calendars, international travel and executive communications. You are proactive, highly organised, fluent in Japanese and English, and thrive in a fast-paced environment while maintaining complete discretion and professionalism.
Task & responsibilities:
- Provide proactive executive support to members of the Management Board.
- Manage complex calendars and coordinate appointments across multiple time zones.
- Organise domestic and international business travel, including flights, accommodation, visas and itineraries.
- Coordinate meetings, prepare agendas, presentations and briefing materials.
- Prepare correspondence, reports and executive documentation.
- Take ownership of meeting logistics and follow-up actions where required.
- Manage confidential information with the highest level of professionalism and discretion.
- Build strong relationships with internal and external stakeholders worldwide.
- Coordinate board meetings, executive events and leadership activities.

Candidate profile
- Fluent in English (written and spoken).
- Fluent in Japanese (written and spoken).
- Available for 32 - 40 hours per week as a Interim Executive Assistant
- Available to start as soon as possible.
- Proven experience as an Executive Assistant, Personal Assistant or Management Assistant supporting senior executives or board members.
- Experience within an international corporate organisation.
- Excellent organisational and planning skills with exceptional attention to detail.
- Strong communication and stakeholder management skills.
- Able to prioritise effectively and work independently in a fast-paced environment.
- Professional, discreet and service-oriented.
- Advanced knowledge of Microsoft Office (Outlook, Word, Excel and PowerPoint).
